Reports to: Chief Engineer

 

Key Responsibilities:

  1. Administrative Support
  • Process labour forms for vacations, sick leave, absences, and disciplinary actions.
  • Prepare and distribute memos, job orders, and reports.
  • Maintain accurate attendance records for employees, contractors, and casual workers.
  • Compile and manage payroll data, time cards, and overtime reports for workshop staff.
  • Process mid-month salary advances and disburse salary payments as required.

 

  1. Inventory & Procurement Management
  • Track and verify daily diesel and gasoline usage for company vehicles, forklifts, equipment, and staff vehicles.
  • Maintain a log of fuel supplies and update lubricant records monthly.
  • Oversee procurement of workshop materials, safety gear, and uniforms for employees.
  • Monitor inventory levels and ensure timely restocking of essential supplies.

 

  1. Maintenance & Operations Coordination
  • Assist in scheduling and coordinating maintenance work within the workshop.
  • Assist with weekly and monthly work schedules for contractors and casual employees.
  • Compile maintenance reports and track equipment servicing records.
  • Manage powerhouse fuel consumption statistics and maintain power generation logs.

 

  1. Compliance & Safety Monitoring
  • Ensure workshop activities align with company safety regulations and industry standards.
  • Support audits and compliance checks for workshop operations.
  • Communicate health and safety guidelines to employees and contractors.

 

  1. Communication & Reporting
  • Generate weekly and monthly statistical reports on fuel consumption and workshop performance.
  • Maintain clear records of workshop-related expenditures and budgeting.
  • Coordinate meetings and training sessions for workshop personnel if possible.

 

Required Skills & Qualifications:

  • Proven experience in workshop administration or industrial operations.
  • Strong organizational and multitasking skills.
  • Proficiency in inventory management and procurement processes.
  • Knowledge of safety regulations and compliance standards.
  • Ability to work effectively with technical teams and workshop personnel.
  • Experience in report preparation and data analysis.
  • Commitment to the goals of the company
  • Willing to take responsibilities, work overtime, and on weekends
